CAFE Events Update 8/3/2020

Currently, the University is proceeding with in-person meetings and events on campus. As the situation evolves, this stance may change, and communication will be made to those impacted. Requests for meetings and events will reopen the week of August 3rd. Events needing to be rescheduled due to the placement of academic classes will be processed first, followed by new reservation requests. 

To assist you with hosting a safe and successful meeting and/or event on campus, please read the minimum requirements necessary for indoor and outdoor meetings and events at the University of Kentucky.


CAFE Events Update 6/22/2020

With UK’s announcement that classes would resume on campus Aug. 17, questions are arising about securing space for meetings/events. It is expected that this will shift many events that support the student experience, as well as regular and recurring in-person meetings. Please be patient and understand that we will not be making any adjustments to reservations or accepting any new reservations until implementation plans are finalized.  The college’s events page will keep you updated and a member of the events team will contact you once they are better prepared to adjust reservation.

The University of Kentucky is following the recommendations set forth by the CDC to reduce exposure to COVID-19 and prevent the spread of illness. All non-critical, in-person meetings and events have been canceled or postponed until after May 31, 2020.  As this situation evolves, the affected date range may be expanded. 

Our team of event professionals will continue to keep you updated on changes to this stance. UK Update 3/17/2020

As both the Centers for Disease Control and Prevention (CDC) and the Governor have advised, in-person events will be canceled or postponed until the end of the semester. Organizations may continue to meet remotely when possible.

We are postponing Commencement to ensure the safety of our students and their families, as well as our staff and faculty who participate. There will be a Commencement to celebrate the remarkable achievements of our Spring 2020 graduating class; we will schedule it for a time when we are able to do so in a healthy and safe environment. We will communicate as soon as possible about next steps to ensure everyone involved can make travel plans.

This does not change the semester completion date for our students, nor does it affect the timeline for students earning their degrees. We are only postponing the graduation ceremony and public celebration.


CAFE Update 3/16/2020

The University of Kentucky is taking additional measures to prevent the spread of COVID-19 on campus.  This afternoon, UK issued a statement regarding classes.   

At this time, the University is proceeding with scheduled events on campus as we temporarily move in-class instruction to online or other learning formats.  As the situation evolves, this stance may change, and communication will be made to those impacted.  To assist us in making informed decisions, we ask you to consider the following questions to determine if your event or meeting should postpone or cancel

  • Will the program be in close quarters or involve considerable personal interaction?
  • Are any attendees self-isolating or being asked to stay home?
  • Are the majority of attendees in the high risk categories for COVID-19? 
  • Does your event involve travelers from any countries for which the CDC has issued a level 3 warning?

If you answered yes to any of these questions, please contact the College of Agriculture, Food and Environment events office for assistance in postponing or canceling your event.

For events and meetings that will proceed, we ask you to consider the following (if applicable):

  • Keep your event coordinator updated on your cancelation and postponement plans. 
  • Use the CDC’s recommendations for large gatherings.
  • Practice good hygiene, including hand washing and sanitizing.
  • Stay home if you have a fever, cough, or other symptoms of illness.
  • Provide hand sanitizer for attendees and planners.
  • Consider food alternatives that reduce handling and exposure of food such as pre-packaged food and beverages and boxed meals.
  • Use single serve and disposable linens and serve ware.
  • Move events outdoors.
  • Consider options for virtual event delivery (for example, Zoom video and/or audio conferencing can support up to 300 attendees – learn about Zoom here

 

Our team is here to assist and guide you, including in assisting with event modifications and coordination with campus services. The Office of University Events and the College of Agriculture, Food and Environment events office will continue to keep you updated on changes related to hosting events on campus.
